The person dialing in from a kitchen table with a cheap headset almost always sounds clearer than six colleagues in a well-furnished meeting room. It feels backwards, but the physics is simple. The remote attendee has a microphone a few centimeters from their mouth. The room has one microphone trying to serve several mouths at several distances, inside a box of hard, reflective surfaces. Distance and reverberation are what ruin conference room audio, and nearly every practical fix is a way of reducing one or the other.
Distance is the real enemy
A microphone does not know what you want it to hear. It picks up everything that reaches it, and the level of a voice drops sharply as the speaker moves away. Someone seated at the far end of a long table may be several times farther from the microphone than the person sitting next to it, and their voice arrives correspondingly weaker.
The room’s background noise, on the other hand, does not get weaker. The ventilation, the projector fan and the traffic outside arrive at the same level no matter who is speaking. So the far speaker is quiet compared with the noise, and when the system boosts the signal to make them audible, it boosts the noise with them.
Remote attendees never face this, because a headset keeps the same tiny distance all meeting long.
The room itself talks back
Meeting rooms tend to be built from glass, plasterboard, whiteboards and a large polished table. All of these reflect sound. When someone speaks, the microphone receives the direct voice and then a smear of reflections a fraction of a second later. Inside the room your brain filters those reflections out without effort. Through a single microphone and a small speaker at the other end, that filtering does not work nearly as well, and the result is the hollow, distant, bathroom-like quality everyone recognizes.
Reverberation also damages intelligibility. Consonants are what make words distinguishable, and they are short and quiet. The echoing tail of one syllable covers the consonant at the start of the next.
Why side conversations are so destructive
In the room, a whispered aside between two people is easy to ignore. Over the link it is mixed into the same single channel as the main speaker, at a similar level if the whisperers happen to sit near the microphone. Remote listeners cannot separate the two. The same goes for rustling papers, a laptop lid, a coffee cup set down next to the speakerphone.
What the software can and cannot do
Room systems and meeting platforms apply echo cancellation, noise suppression and automatic gain control, and they do these jobs well. Zoom, Teams, Meet and Webex all have built-in noise suppression, and most dedicated room devices add their own processing. What processing cannot do is restore detail that never reached the microphone. A voice that arrives faint and soaked in reverberation can be made louder, but not clearer. Heavy processing on a poor signal is also where the underwater, warbling quality comes from.
A common self-inflicted problem deserves a mention. If one person in the room joins the call from their own laptop with its microphone and speakers on, while the room system is also live, the result is an immediate howl or echo. Anyone in the room who joins for screen sharing should join with audio disconnected. Fixes that work, from free to funded
Start with behavior, since it costs nothing. Seat the people who will talk most nearest the microphone. Ask for one conversation at a time. Keep bags, cups and keyboards away from the speakerphone, and close the door.
Next, shrink the distances. A speakerphone in the middle of the table beats a microphone built into a display on the far wall. For longer tables, systems with extension microphones, or ceiling and tabletop arrays designed for the room’s size, keep every seat within a reasonable reach of a capsule.
Then treat the room. It does not need to look like a recording studio. A rug or carpet, curtains over the glass, a few acoustic panels on the largest bare wall, and upholstered chairs all shorten the reverberation, and the improvement is audible to remote attendees straight away.
Last, give the remote side a voice in the matter. They are the only ones who can hear the problem, so ask them at the start of the meeting how the room sounds, and mean it.
Judge the room from the far end
The quickest audit you can run is to book the room, join the meeting from another floor with headphones, and listen while a colleague walks around the table talking. Ten minutes of that will tell you which seats are inaudible and whether the fix is a seating plan, a rug or a new microphone.
